Integrations

What it's for

The Integrations page is where you connect Voicent AI to the other tools your business uses, such as your CRM, calendar, accounting software, or team chat. Once a tool is connected, your workflows can use it. For example, a workflow can look up a caller in your CRM, book a meeting in your calendar, or post a message to Slack after a call. Each connection belongs to the workspace you have selected, so different workspaces can connect to different accounts.

Who can use it

Anyone who can open the workspace can see the Integrations page. Connections are shared by the whole workspace. When you connect, change, or disconnect a tool, everyone in that workspace is affected.

Find an integration

The top of the page shows how many integrations are available. It also shows a connected count and, if any connection has a problem, an errors count.

  1. Type in Search integrations... to search by name, description, category, or action.
  2. Click a category pill (for example CRM or Calendar) to show only that category. Click All to clear it.
  3. Use the status tabs to switch between All, Connected, and Available.
  4. Click any card to open its details. The details window shows:
    • the category and the sign-in type (OAuth2 or API Key)
    • Available Actions, the things your workflows can do with this tool
    • Required Credentials, the keys or passwords you will need

OAuth vs API key

Integrations connect in one of two ways.

Sign-in type How it works What you need
OAuth2 You sign in to the other tool in a pop-up window and approve access. A login for that tool with permission to approve apps.
API Key You paste a key, token, or other credentials into a short setup form. The key from that tool's own settings or developer page.

OAuth2 cards show an OAuth2 badge, and their button reads Connect with followed by the tool name.

Connect with OAuth2

  1. Find the integration card and click Connect with tool name.
  2. A pop-up window opens. Sign in to the other tool and approve access.
  3. The pop-up closes on its own. You see "Integration connected successfully" and the card shows Connected.
  4. If the tool needs extra settings (for example a location or calendar), click Configure on the card to add them.

Tip

Allow pop-ups for Voicent AI in your browser. If your browser blocks the pop-up, the page may send you to the sign-in screen in the same tab instead.

Connect with an API key

  1. Find the integration card and click Connect. You can also open the card and click Connect followed by the tool name.
  2. The setup window walks you through these steps. Some steps are skipped if a tool doesn't need them.
    1. Credentials: enter the key or password fields. Fields marked with a red * are required. Click Next.
    2. Config: enter any extra settings, such as a default phone number or account ID. Click Next.
    3. Test: click Run Test. You see Connection successful! or Connection failed with a reason. Click Retry to test again, or Continue (or Skip) to move on.
    4. Done: click Done.

Warning

Your credentials are saved when you click Next, before the test runs. The card can show Connected even if you skipped a failed test. Always run the test, and fix any failure before you rely on the integration.

Change settings or test a connection

On a connected card:

  1. Click Configure to reopen the setup window. Key and password fields show "(unchanged - enter new value to update)". Leave them blank to keep your saved values.
  2. Click the ⋮ menu for more options:
    • Test Connection checks the saved credentials. You see a message such as "Tool connection OK" or the reason it failed.
    • Field Mapping lets you match call data to the tool's fields. It appears only for tools that have actions.
    • Disconnect removes the connection.

Map fields

Field mapping tells an integration which piece of call data goes into which field in the other tool.

  1. On a connected card, open the ⋮ menu and click Field Mapping.
  2. Choose an Action from the list.
  3. Check the Connector fields hint. It lists the fields that action accepts.
  4. In each row, type the call data field name on the left (voice_field) and the tool's field name on the right (connector_field).
  5. Click Add Mapping for more rows. Click the trash icon to remove a row.
  6. Click Save Mappings. You see "Field mappings saved".

Mappings are saved per action. Switch the Action list to set up a different action.

Disconnect an integration

  1. On a connected card, open the ⋮ menu and click Disconnect.
  2. Read the warning. Workflows that use this integration will stop working.
  3. Click Disconnect to confirm.

Check health

  • A green edge and a Connected badge mean the connection is saved and active.
  • A red edge and an Error badge mean the connection has a problem. Click Reconnect to set it up again.
  • If an integration keeps failing, Voicent AI pauses calls to it for a while so one broken tool doesn't slow everything down. The card then shows Circuit Open (paused) or Recovering (trying again), with the number of recent failures.
  • After you fix the cause, click Reset on that warning to resume right away.

See the Activity Log for a record of each call to an integration and any error messages.

Troubleshooting

  • "OAuth failed" message or an error in the pop-up. The other tool did not complete the sign-in. Close the pop-up and try again. Make sure you approve access when asked.
  • The setup window shows "Field is required". Fill in that field before clicking Next.
  • The test shows Connection failed. Read the reason under the message. Check that you copied the key correctly, with no extra spaces. Then click Back, fix the value, and test again.
  • The card shows Error or Circuit Open. Run Test Connection from the ⋮ menu. Fix the credentials with Configure or Reconnect, then click Reset.
  • The page shows "No integrations found" and no cards. The catalog didn't load. Refresh the page. If it still happens, contact support.
